Exhibits Project Manager

We're looking for a highly organized, client-focused Project Manager to lead the execution of exhibit projects from concept through show completion. This role is the central hub between clients, design, production, and logistics, ensuring every exhibit is delivered on time, on budget, and ready to perform on the show floor. This is an in-office position in our Hartland, WI office.

Key Responsibilities

Client & Project Management

  • Serve as the primary point of contact for clients throughout the project lifecycle
  • Helps define project schedule, timeline, and deliverables from kickoff through post-show reviews
  • Manage multiple concurrent exhibit projects (often with overlapping deadlines)
  • Provide proactive updates, resolve issues, and ensure client satisfaction

Internal Coordination

  • Collaborate with design, production/shop, and sales to bring concepts to life
  • Create and maintain detailed project schedules and task tracking
  • Facilitate internal meetings, approvals, and handoffs

Production & Logistics Oversight

  • Coordinate fabrication timelines, materials, and vendor/partner relationships
  • Hands-on execution as needed
  • Manage shipping, I&D (install & dismantle), and show services logistics
  • Ensure compliance with show rules, deadlines, and exhibitor kits

Budget & Financial Management

  • Track project budgets, margins, and change orders
  • Review vendor estimates and ensure profitability targets are met
  • Approve vendor invoices and internal cost tracking
  • Assist with creating estimates and contracts

On-Site Management & Execution

  • Travel to trade shows (up to 20%) to oversee installs and client experience
  • Troubleshoot real-time issues and ensure successful booth delivery

Requirements

  • 3+ years of trade show exhibits project management experience – experience with heavy machinery or industrial shows is a bonus
  • Strong organizational and multitasking abilities
  • Experience managing timelines, vendors, and budgets
  • Excellent client communication and relationship skills
  • Ability to thrive in a fast-paced, deadline-driven environment
  • Proficiency in project management tools
  • Calm under pressure and solutions-oriented
  • Detail-obsessed but able to see the big picture
  • Willingness to learn and take pride in your work
  • Strong degree of self-direction, motivation, ownership and accountability
  • Desire for continuous improvement and learning
  • Packaging or processing industry experience is a BONUS, but not required
